ILIA is seeking an experienced and highly motivated Project Manager to join our dynamic creative operations team. As a Project Manager, leading creative support for all visual merchandising and retail marketing projects—you will play a critical role in driving the success of our retail initiatives. You will lead the management of creative deliverables and timelines for all graphics needed for fixture updates across all partners, including Sephora, Ulta, SpaceNK, independent doors, and all global doors. You will also manage all creative projects that support our retail marketing and education needs, including in-store marketing events and EDU videos. Your ability to effectively manage projects from inception to completion, while ensuring timelines, budgets, and quality standards are met, will be essential to the organization's overall retail marketing strategy. You are a strong communicator who operates with an owner’s mindset—and has the passion and enthusiasm to rally a team around you.
This role is hybrid and open to candidates based in the Los Angeles, CA region.
Responsibilities
VM / FIXTURE UPDATES (40%):
Facilitate brief kickoffs for new 2D/3D and retail marketing projects with Creative team
Manage & maintain project status and communications within project management tools (Asana & Figma) & with cross-functional stakeholders.
Manage day-to-day workflow of creative team, balancing team priorities & deadlines while driving traffic management for all visual merchandising graphic projects, including graphics for all seasonal fixture updates and any new fixture launches.
Collaborate with cross-functional teams, including visual merchandising, product and retail marketing, creative and editorial
- Scope of project ownership:
Creative Schedules (proto art, dielines, retouching)
Organizing Copy + Design deliverables
Managing Creative asset approvals
Managing Translation deliverables
Trafficking color matchprint deliverables
Coordinate Proofing process
Act as key contact for File Release
Manage day-to-day workflow of tactile creative and editorial teams, balancing team priorities & deadlines while driving traffic management; ensure all creative solutions provided are within established budget.
Facilitate the creative project workflow from creative reviews & revisions (in-person agendas / FIGMA / over email), retouching schedules, trafficking, approvals and delivery of final design files. Unify teams to work collaboratively, help connect dots to drive a cohesive view & flow of the project, keep teams aligned and serve as a point of contact & source of knowledge through various stages of the project cycle.
RETAIL MARKETING ASSETS (40%):
Partner with the retail marketing team to support creative needs, ensuring projects are kicked off and executed on time and within Marketing’s budget. Projects include, but are not limited to:
In-Store Graphics, Gondola Toppers, Window Clings, additional marketing collateral, etc.
Global Secondary In-Store Exposures such as Front of Store Tables, Single-Branded Towers, Windows, BOTF Corner, Cash Wrap, etc.
Experiential Creative for retailer trade shows such as SEPHORiA, SMC, FLC etc.
Retail Partner OOH opportunities
Manage project pipeline & field inbound requests; Review and vet project briefs, help seek clarity where needed, & facilitate project kickoffs. Manage the creative project workflow from creative reviews & revisions, trafficking, approvals and delivery. Help connect dots to drive a cohesive view & flow of the project, keep teams aligned and serve as a point of contact & source of knowledge through various stages of the project cycle.
Ensure all projects are delivered on-time and within scope while maintaining high-quality standards; mitigate timeline risks by communicating creative status and resourcing recommendations (weekly recap emails, creative priorities Asana board).
EDU ASSETS (20%):
Work closely with the EDU team to ensure all initiatives are launched and executed on time and within budget. Key responsibilities include:
Managing timelines and project deliverables for educational printed materials and in-store collateral
Coordinating the development of in-store tools, such as shade-matching grids
Overseeing the timelines for production of media content, including social posts for internal retailer education platforms and educational videos
Additionally, drive the establishment of best practices and workflows for EDU-related projects, such as: Product how-to video, product and essentials sheets, category one-pagers, gratis cards.
Job requirements
5+ years of experience in project management in the beauty or personal care products industry
Experience managing 2D print processes (e.g. HEX, CMYK knowledge)
Demonstrated ability to manage multiple projects simultaneously, while meeting deadlines and maintaining high-quality standards.
Exceptional organizational, communication, and problem-solving skills.
Proficiency in project management software and tools, including Asana and Figma
Demonstrated ability to communicate throughout all levels of the organization, ensuring necessary feedback
